Creating a New Marketing Material Approval Request


Overview

Users can create an approval request for distributing marketing materials to clients or potential clients. The approval request will be forwarded on to a Compliance Officer for approval.

  1. From the Home screen, click the Home dropdown menu.

  1. Click the Employee Portal link.

  1. From the Personal Trading screen, click the Approval Requests tab.

  1. From the Approval Requests screen, click the + New Approval Request button.

Creating a New Marketing Materials Approval Request

  1. From the Create a New Approval screen, click the Marketing Materials radio button from the Approval Type field.

  1. Click the Next button.

  1. Select an intended distribution date from the Calendar pop-up under the Intended Distribution Date field by clicking a Date.

  1. Select a distribution method used to deliver the marketing materials from the Medium Used for Distribution dropdown menu.

  1. (Optional) Click the x next to the Distribution method in the Medium Used for Distribution field to remove the selected method.

  1. Enter a name or title that sums up to content of the marketing material being sent in the Title of Marketing Material field.

  1. Enter a brief description, instructions, or content list in the Short Description of Marketing Material field.

  1. Select an option to the question Can this information being issued be verified with supporting documentation? If the user selects No, they will have to include further details.
  2. Select an option to the question Confirm that there are no misrepresentations or misleading statements in the promotion. If the user selects No, they will have to include further details.

  1. Enter the intended recipients of the marketing material in the Please provide details of intended recipients of this marketing material field.

  1. Include support documentation by dragging and dropping files into the designated area on the Supporting Documentation field, or select the top proportion of the Supporting Documentation field and select a file from the connected PC.

  1. Click the designated area on the Supporting Documentation field to add a web link. For more information on adding a web link to the project, see the Adding a Web Link article.

  1. (Optional) Click the following icons to edit or delete an image from the request:
    • Edit: Click the Edit icon to rename the file.
    • Delete: Click the Delete icon to remove the file from the request.

  1. Enter a keyword in the Employee field and select your name from the dropdown menu. Entering your name indicates you acknowledge all policies and laws pertaining to this action.

  1. Click the Submit button to send the request to a Compliance Officer.

  1. The Compliance Officer will receive an email notification indicating a request requires action.

  1. Click the Cancel button to cancel the request and return to the previous screen. Compliance Officers will not see a cancelled request.
