Overview

Roles control user permissions, what a user can do (create, edit, delete, etc.) and access within the system.

The user account you use to log into Resolver must have Administrator permission to assign roles.

  1. From the Admin: Roles screen, click the +Create New Role button.

Creating a New Role

  1. From the Admin: Create Role screen, enter the following information:

    • Enter a Role Name in the Role field. The Role Name is used to represent the Role throughout the Application.
    • (Optional) Enter a brief Role Description outlining the Role in the Description field. The Role Description will help differentiate Roles from one another in the Application.
    • (Optional) Select the Enable Global Membership checkbox to enable Global Permission for this Role. Global Permissions grants users access to all the objects that belong to the object type(s) added to that role. It allows users permission to Create, Read, Edit, etc. and choose the configurable form displayed in their My Tasks section.

Note:
If a user is in multiple roles and the permissions conflict, the role with the higher level of permissions will take precedence. You can review which roles an individual user has been added to from the User Role Membership section on the Edit User page.

  1. Click the Create button to create the Role and open the Admin: Edit Role screen, which allows you to configure more Role options.

Note:
When a Role is created, you cannot enable or disable global membership (permissions) from the Edit Roles page. To enable or disable global permissions on an existing role, you must delete and then recreate the Role.

Editing a Role

  1. From the Admin: Edit Role screen, click the Object Type field and select an Object Type from the dropdown menu.

  1. Click the Edit Permissions button to configure the object type's permissions on the Admin: Edit Permissions screen. Once an object type's permissions are configured, the object type will be added to the Role. 
  2. From the Admin: Edit Permissions screen use the permission options to set up the object type's permissions:

  • All States: The All States section automatically enables the selected permission(s) for all states within the workflow (e.g., Read will allow users permission to view all object in all states).

    •  All Triggers: The All Triggers button allows users access to all available triggers on a form  permitting users to transition an object from state to state. When the All Triggers button is enabled, all trigger buttons under all states will turn solid, indicating all triggers are available.

Note:
The triggers visible to the user depend on whether the object is in the state associated with the trigger.

    • Create: The Create button lets users create a new object. This permission applies only to the Creation state on the object type. When granting a user this permission, you must enable at least one trigger for this state.
    • Read: The Read button lets users view the object in all states. Select the Read button to access the Edit, Delete, and Manage permissions.
    • Edit: The Edit button lets users edit an existing object in all states.
    • Delete: The Delete button lets users delete an existing object in all states. 
    • Mange: The Mange button lets users add other users with explicit permissions on the object type to a Role field on a configurable form to give them access to the object in all states. 
  • Individual State: Permissions and triggers selected for an individual State will apply to that state only.

    • Create: The Create button lets users create a new object. This permission applies only to the Creation state of the object type. When granting a user this permission, you must enable at least one Trigger for this state.
    • Read: The Read button lets users view the object in the corresponding state (e.g., Archived). Select the Read button to access the EditDelete, and Manage permissions. 
    • Edit: The Edit button lets users edit an existing object in the corresponding state (e.g., Open).
    • Delete: The Delete button lets users delete an existing object in the corresponding state (e.g., Open).
    • Mange: The Mange button lets users add other users with explicit permissions on the object type to a Role field on a configurable form to give them access to the object in the corresponding state (e.g., Open). The user added to the Role field on the form will not see the object until it’s in a state they have permission to view. Manage applies to explicit permissions only.
    • Assign: The Assign button lets users assign users permission to view an object through a role with explicit permissions and will see it on their My Tasks page once the object is in the selected state view the object.
    • Select a default form for this state for this role: The form users will see this dropdown menu when using the Search feature, Quick Add to create an object, viewing an assessment table on a form, or opening an object via the relationship graph:
      • If you do not choose a form from this dropdown menu, the object type’s default form will be displayed.
      • If you select Default Form from this dropdown menu, the user will see the form selected by an administrator elsewhere in the App.
      • If you select a configurable form from this dropdown menu, the selected form will be displayed.
  1. Click the Done button to save the object type's permissions and add the object type to the Role.
  2. The Admin: Edit Role screen will appear.

  1. Click the Users field and enter a username.
  2. Select a user by clicking on a username from the Users dropdown menu.

  1. (Optional) Add users by entering another username in the Users field and selecting them from the Users dropdown menu. 
  2. When you have loaded all the users you want to add to the Users field, click the Add Selected button to add all users to the Role.

  1. Click the Groups field and enter a user group name.
  2. Select a user group by clicking on a user group name from the Groups dropdown menu.

  1. (Optional) Add user groups by entering another user group name in the Groups field and selecting them from the Groups dropdown menu. 
  2. When you have loaded all the user groups you want to add to the Groups field, click the Add Selected button to add all user groups to the Role.

  1. (Optional) Click the x icon next to a Object Type, User, or User Group to remove it from the Role.

Note:
Roles determine a user's eligibility to access objects only. Removing a user from a role with explicit permissions after they've been granted direct access to an object does not automatically revoke their access to that object. Another user with the appropriate permissions must revoke access by removing the user from the role field on the object's form.

  • Search Bar Enabled: The Search Bar Enabled toggle switch enables (blue checkmark) or disables (grey x) the Search field on the Top Bar on each screen.

  • Quick Add Enabled: The Quick Add Enabled toggle switch enables (blue checkmark) or disables (grey x) the Quick Add feature on the Top Bar on each screen. The Quick Add function allows users to add objects to the Application quickly.

  • Help Icon Enabled: The Help Icon Enabled toggle switch enables (blue checkmark) or disables (grey x) the Help icon (knowledge base access) on the Top Bar on each screen.

  • Archived Search: The Archived Search toggle switch enables (blue checkmark) or disables (grey x) the Include Archived Data toggle switch in the search results. The Archived Search toggle switch allows you to include archived data within the search results.

  1. The Advanced Options help restrict users from accessing or creating objects outside of an activity, preventing users from navigating to a site (such as the Resolver Knowledge Base) outside of the Application, or for data management.
  2. For users in multiple roles, the Role with higher permissions will take precedence.
  3. Click the Done button.
