Reviewing a Dealing Error Disclosure


Overview

A Compliance Officer must review all dealing error disclosure within the system. Dealing error disclosure can be declined, more information requested, or accepted depending on the information within the request. The employee who created the request will be notified regardless of the outcome.


User Account Requirements

The user account used to log into Kroll's Managed Compliance Software must have Compliance Officer permission to review suspicious activity requests.

Navigation

  1. From the Home screen, click the Sort dropdown menu in the My Task section.

  1. From the Sort dropdown menu, select Type to sort requests in the My Tasks section by type.

Note:
Clicking Type for a second time will sort the My Task list by type alphabetically.

  1. Click a Dealing Error Disclosure request in the My Task section. Dealing error disclosure requests are indicated by a D followed by a number, indicating the request ID (e.g., D - 19).

  1. (Optional) If you know the name of the dealing error request, click the Search link and enter the dealing error request name in the Search field.

  1. From the Personal Trade screen, click the Disclosures tab.

  1. From the Disclosures screen, click on a request in the Pending Review/More Information Required section.

Reviewing a Dealing Error Disclosure

  1. From the Dealing Error Request screen, review the information in the Dealing Error section. 
    • Name of Counterparty: The name of the party involved in the dealing error.
    • Name of Client(s) Affected: A list of client names affected by the dealing error.
    • Date of Error: The date the dealing error occurred.
    • Date Error Identified: The date the dealing error was identified.
    • Profit/Loss Amount from Error: The amount of profit/loss caused by the dealing error.
    • Currency: The profit/loss currency code.
    • Nature of Error: A brief description outlining the dealing error.
    • Client Feedback: Feedback received from the client regarding the dealing error.
    • Additional Information: 
    • Supporting Documentation: Additional files or websites that give evidence supporting the suspicious activity.

  1. After reviewing the Dealing Error section, enter any comments, instructions, or additional information in the Steps Taken to Rectify Error field under the Compliance Review section.

  1. Enter any comments, instructions, or additional information in the Steps Taken to Avoid Recurrence field.

  1. Select an option to the question: Will this require notification to regulatory authorities? If the user selects Yes, they will have to include further details (regulatory name, date notified, and follow-up communications).

  1. Select an option to the question: Will this require notification to clients? If the user selects Yes, they will have to include further details (e.g., names of clients affected, date notified, follow-up communications, etc.).

  1. Select the date the dealing error was remediated from the Calendar pop-up under the Date Error Remediated field, by clicking a Date.

  1. Include support documentation by dragging and dropping files into the designated area on the Supporting Documentation field or select the top proportion of the Supporting Documentation field and select a file from the connected PC.

  1. Click the designated area on the Supporting Documentation field to add a web link. For more information on adding a web link to the project, see the Adding a Web Link article.

  1. (Optional) Click the following icons to edit or delete an image from the request:
    • Edit: Click the Edit icon to rename the file.
    • Delete: Click the Delete icon to remove the file from the request.

  1. (Optional) Click the History tab to review the request's change log history.

  1. Select the Request More Information button to request further information from the employee. The employee who submitted the request will get a notification requesting for more information. The employee will see any comments in the Comments field.

  1. Select the Complete Review button to approve the dealing error disclosure request. The employee who submitted the request will get a notification. The employee will see any comments in the Comments field.
